Hunt Institute serves botanical science through research on and documentation of its history, both past and current, including bibliography, biography and graphic communication. The Institute's collections are the bases for research and reference services provided to the scientific and scholarly communities and to the public. The Institute's full range of digital imaging, photocopying and photographic services complements its research and reference services and its own research programs. |

Hunt Institute's Imaging Services Policy
The Institute reserves the right, at its discretion and without explanation, to limit the number of copies, restrict the use or further reproduction of rare or valuable material, make special quotations on material or requests involving unique circumstances, and refuse requests that in the Institute's opinion could result in damage to the original or constitute inappropriate use. The curating department evaluates the condition of all items before they are scanned or photographed. Due to the fragile condition of an artwork, book, or portrait, we may be unable to fulfill your request.
The majority of the Institute's collections have not been photographed or digitized. Images are provided as a service and are made as requested.
Acceptance of all orders is subject to staff workloads.
Fees & Time Schedules
Fees apply to flat artworks, pages in books, and photographs. Orders for photography of three-dimensional objects or framed artworks in the Institute's collection will be assessed an additional service charge.
Time schedules refer to the time needed to do in-house photography and image processing. Charges are based on the date of completion specified by the customer and are calculated from the day the order is acknowledged. All orders not specifying a completion date are filled within 20 business days. Time schedules apply only to orders of:
No more than 20 images for 20 business days
No more than 10 images for 10 business days
Inquire about time needed to fill larger orders.
Rush orders may be available, based on staff workloads. The charge will be 200% of the fee for 10-business days.
We suggest that you make requests well in advance of the actual date needed.

Requests for final image sizes larger than those mentioned above will be considered on a per request basis. If the request is accepted the charge will be correspondingly prorated. |
| We will provide low-resolution digital images or inkjet prints at a reduced price for research purposes. These digital images and prints are for personal research purposes only and are not for publication or for long-term archival purposes. If you later decide to publish the image, please contact us for the full-resolution, 300 DPI version and for a permission form. The cost of the full-resolution image will be reduced by the amount already paid for the research image. |

| Hunt Institute requires a permission application to be completed for uses of images from our collections. The application lists the image(s) being reproduced, describes the proposed use, and lists the conditions under which permission would be granted for the use of the image(s). A publication fee is charged, although it may be waived for non-profit uses, at the discretion of Hunt Institute. In addition to the publication fee charged for for-profit uses, the Institute requires a credit line for providing the image and one free copy of the publication in which the image was used. Conditions may vary, and non-print uses are handled on a case-by-case basis. $80 per image per use for a first edition/article/electronic use (includes books, journals, magazines, online journals, Web sites, electronic exhibits). $40 per image per use for reprints, translations, or auxiliary published materials such as a teacher's edition Web site or CD that accompanies a printed publication. $80 per image per use for new editions and new uses. No re-use fee is charged for simultaneous publication of a single edition in multiple media. Fees for other uses quoted on request. |

| Charges for photocopying and photographic services cover the costs of material and/or processing and some of, but not all, the research time needed to locate the item(s) to be reproduced. The Institute, therefore, adds to the regular photocopy and/or photographic charges a research fee of $25.00 per staff hour if the time taken to locate the requested item(s) exceeds one hour, and/or more than 20 individual items are involved. |
| Services must be paid for in advance. Payment of services by check or money order must be in U.S. dollars. A pro forma invoice will be sent upon request. We accept Visa and MasterCard. Credit-card orders may be phoned, mailed, or faxed to the Institute. We do not accept bank transfers. |
| DO NOT send credit card information to the Institute by email. Email is not encrypted and therefore is not a secure method of submitting credit card information. |
